What the AV & Set-up Technician does

The Audio Video & Set Up Technician position is key in assisting AGU to promote discovery in Earth and Space science for the benefit of humanity, by being operational in focus. The purpose of this position is to support daily operations of the AGU headquarters facility that consists of a full-service Conference Center, available to external customers, as well as multiple office conference rooms, supporting needs of AGU staff.

Reporting to the Assistant Director, Conference Center Services, the Technician will be responsible for the audio visual equipment set up, configuration and operation, and related technology support for all meetings, conferences and special events, including both audio and video conferencing coordination, as well as manual set up and break down of all furnishings, ensuring room condition & equipment are maintained at corporate standards.

* Responsible for setting all meeting rooms with appropriate tables, chairs, and risers, per customer specifications.
* Maintains furniture storerooms to ensure equipment is protected and accessible.
* Sets up, operates, secures and stores all media equipment daily.
* Daily reviews current day’s event schedule and banquet event orders prior to each event; opens all rooms in use for the day, ensures accurate door sign, room set, and equipment needs are in place.
* Ensures conference center guest satisfaction in relation to audio visual, set-up, and other requested needs. This includes but not limited to
o Confirming that all equipment is properly set and functioning prior to the meeting.
o Greeting guests in a professional and courteous manner.
o Assisting guests and instructors in effectively connecting and functioning all audio-visual equipment.
o Trouble-shooting any issues and accommodating needs accordingly.
o Assisting with the meeting room set changes as needed.
* Strikes audio visual equipment from meeting rooms at conclusion of meeting; ensure all equipment is present and in working order at that time. Returns all equipment to appropriate secured storage and maintain location records.
* Responds proactively to all calls from the Conference Center front desk or co-workers for guest requests, including audio visual needs and general meeting needs; when unable to respond immediately, recognizes levels of priority accurately and request assistance as needed to maintain high level of customer services
* Reviews program schedule for the next day and proactively checks equipment and sets as appropriate.
* Assists in maintaining audiovisual and conference service storage rooms in a neat, orderly and safe manner at all times.
* Assists in maintaining audiovisual equipment inventory and maintains updated asset records per AGU standard procedure.
* Performs routine maintenance as factory specified for all equipment, including cleaning (lens, carts, recording heads), bulb & battery replacement, cable repair, and video systems
* Trouble-shoots and performs repairs where necessary.
* Maintains log of preventative maintenance and repairs performed on all equipment including date, work accomplished and cost.
* Makes recommendations on new equipment and services, when requested, including solicitation of bids and tracking purchases.
* Coordinates external rental equipment needs.
* Reviews upcoming demands; asks questions to ensure requirements are understood and accommodated.
* Greets visitors & members; interacts with security to ensure customers are appropriately directed & serviced, as needed.
* Assists in tracking supply inventories (mailroom; copy centers); placing orders; and distributing product.
* Assists in ensuring staff are notified of incoming packages
* Assists in organization and maintenance of AGU departmental materials.
* Other duties as assigned.

What the AV & Set-up Technician brings to the team

* High school diploma with minimum of 3-5 years of experience in services, integration & operations; or equivalent combination of education and experience.
* Ability to communicate professionally, amicably, and comfortably in a business environment.
* Superb customer service and interpersonal skills.
* Proficiency in Microsoft Office and strong knowledge of internet.
* Working knowledge through experience of all aspects of AV concepts, including audio, video, PowerPoint and Crestron Touch panels.
* Practical knowledge of Skype & Zoom virtual meeting support is a must.
* Ability to exercise sound judgment about when to take action and when to seek guidance.
* Ability to multi-task to meet deadlines and balance competing priorities is required.
* Proven track record in troubleshooting equipment issues; and experience with interfacing systems.
* Attention to detail and ability to work independently, with proven record of time management and organization skills.
* Ability to travel.
* Crestron Certification is a plus.
* Experience with Bright Sign/Bright Author and Condeco Meeting Management Systems strongly preferred.
* Previous Hotel or Conference Center experience is strongly desired.
